Notarization and Authentication

Item I - Information for Notarization & Authentication

  1. All the applicants for Document notarization and authentication should attend in person to the Embassy of the P. R. of China in the Kingdom of Nepal. (Address: Baluwatar, Kathmandu)
  2. Before documentation concerning economic guarantee, commercial affairs, status of company, property inheritance / transfer, etc., is submitted to the Chinese Embassy, it must first be notarized and authenticated by the local department for notarization and authentication.
  3. All documents authenticated by the Chinese Embassy should be used within China.
  4. The full, real and effective documents or facts in law should be submitted to the Chinese Embassy when you apply the notarization / authentication and face to face inquiry should be accepted.
  5. The applicant for Power of attorney certificate must fulfil the Power of Attorney, the date and sign in front of the consular officer.

Item II - Procedures

  1. To fulfil the < Application Form for Notarization or Authentication> (See Appendix 1 )
  2. To submit relevant documentation and facts. (See Item IV)
  3. To talk face to face with consular officer.
  4. To fulfil the form < Record of Conversation> (See Appendix 2)
  5. To pay and collect the Notarization and Authentication Certificate.

Item III - The scope of notarization and Authentication:

  1. Birth certificate
  2. Marital status
  3. Educational graduation
  4. Profession / Occupation
  5. Record of committing offences against the criminal law
  6. Health certificate ( Living status)
  7. Death certificate
  8. Economic guarantee
  9. Adoptive relation
  10. Inheritance
  11. Housing property
  12. Signature on formal document
  13. No objection notarization
  14. Notarization for the translated copy is in conformity with the original
  15. Notarization for nationality
  16. Notarization for Power of Attorney

Item IV - Notes on documentation of certain certificate

The applicants should first fulfil the forms of <Application for notarization or authentication> and <Record of Conversation> and then should submit the relevant documents:

1. Certified Birth Certificate
    You should submit:
    Original Birth Certificate issued by the Hospital
    Passport
    ID Card
    Notarized kinship certificate

2. Marital Status Certificate
    (1) Single Status Certificate
    Passport
    ID Card
    Declaration Letter for Single Status
    Single Status Certificate emanated in China
    Certificate issued by at least two witnesses

    (2) Notarization of Marriage Certificate
    Original Marriage Certificate
    Certificate for couple relations issued by original marriage registration department

    (3) Notarization for Single status of divorced / widowed person
    Original Divorce Certificate
    Death Certificate of past spouse
    Written statement of single status after divorced or widowed

    (4) Marriage Registration
    Passport and ID Card
    Certificate of Marital Status
    If either party is divorcee in the previous marriage should submit certificate of divorce

3. Educational graduation
    Normally, you should apply the notarization for educational graduation certificate within     China. In special case, Chinese Embassy can provide you the authorization of the conformity     between the photocopy and original document (s). Applicant should submit:
    Original Certificate of Educational Graduation
    Photocopy of the Certificate of Educational Graduation

4. Profession / Occupation
    Before documentation is submitted to Chinese Embassy, it must first be notarized and     authenticated in local Department. Chinese Embassy can give you the final authentication.

5. Certificate of criminal or non-criminal record
    Applicant should apply this kind of certificate in your dwelling place. In special case, the     document can be authenticated by the Chinese Embassy.

6. Authentication of Health Certificate
    You should submit:
    Certificate of Health Status

7. Notarization of Death
    Applicant should submit:
    Certificate of Death issued by Hospital or by Police Office

8. Economic Guarantee
    Before sending this kind of document to Chinese Embassy for authentication, you must first     have the document notarized and legalized by local Department.

9. Notarization and authentication of Adoption
    To adopt a child in China, the necessary documents required are as follows. All these     documents shall be notarized and legalized by the local Department and then be authenticated by the Chinese Embassy:

  1. Adoption Application Form
  2. Certified Birth Certificate
  3. Marital Status Certificate
  4. Certificate of Professional & Employment Status, Income and Property
  5. Health Examination Certificate
  6. Police Checks on criminal record
  7. Certificate of Approval for the Inter- Country Adoption by the relevant State Adoption Authorities
  8. Family Assessment Report
  9. Inheritance

Generally, Chinese Embassy does not accept the application for notarization or authentication of inheritance. In special cases, your application form together with relevant documents can be transferred to the Ministry of Foreign Affairs of China by the Embassy.

  1. Original Inheritor's ID Card and Photocopy
  2. Certificate of Property
  3. Death Certificate of the Owner
  4. In case the legal inheritor is dead, Death Certificate and Certificate for Kinship should be submitted
  5. Certificate of Marital Status, Certificate of Status of Owner's Parents and Children
  6. Written Application of Inheritor

10. Housing Transfer
    You should apply the notarization and authentication in the place where the Housing Property     locates. For final authentication from Chinese Embassy, relevant supportive documents, such  as Titles Deeds and Kinship Certificate, are required.

11. Notarization of the signature in official document
    You should submit:
    Original official document
    ID Card
    Evidence for showing the purpose of the official document

12. No Objection Certificate
    You should submit:
    ID Card
    Original No Objection Certificate

13. Translated copy is in conformity with the original
    You should submit:
    ID Card
    Original document
    Translated copy

14. Notarization of Nationality
    You should submit:
    Passport
    ID Card
    Certificate issued by the Public Security Office in China

15. Notarization for certificate of Power of Attorney
    You should submit:
    ID Card
    Original relevant document(s)

Item V - Working Hour

    In normal cases: 3 working days.
    In urgent cases: If you wish to pick up more earlier you should have the permit of the consular     officer and pay urgent fee.
